A leading provider of market intelligence wanted to drive efficiencies in every area of their business.

In the area of document production, Xenith worked with them to identify that they could increase productivity and reduce cost whilst reducing the environmental impact of their document production. Furthermore, Xenith identified that they could enhance their print confidentiality, which was important because of their commitment to protecting the privacy of the data that they analyse and distribute.

The Challenge

Before developing a solution, Xenith performed an Office Document Assessment. This was a multi-phase evaluation of their print workflow and practices including empirical data of current print volumes and asset lists alongside documented user requirements gained from focus groups. Working with them, Xenith designed and implemented a customized solution that helped them achieve their goals.

The Solution
  • Established a print policy that utilized SafeCom Pull Printing to migrate print volume from a wasteful and uncontrolled network printer fleet, to a managed fleet of Xerox Multi Function Devices
  • Ensured all documents were printed securely via only two print queues in the business for all users, using a single Xerox Universal Printer Driver.
  • Allowed documents to be released securely at any device in the building using Safecom Pull Printing.
  • Monitored Xerox MFDs proactively using Xerox CentreWare Web.
  • Improved print procurement processes and print controls with Safecom Reporting
  • Provided the ability for users to scan directly to applications like Word, Excel and PDF securely and with automatic text OCR.

The solution was first piloted to prove its concept, and was subsequently rolled out on a floor by floor basis until the entire head office were producing documents faster, cheaper, more securely and with less impact on the environment.

The Results
  • Improved productivity from a print solution with near100% availability
  • Improved productivity with easier document storage by scanning to PDF, Word and Excel.
  • Higher document security as print jobs are only released when a user authenticates at their chosen printing device.
  • Printer related Help Desk used to be 12% of the total call volume – they have now been reduced to 1%.
  • Total print volume reduced by more than 40% - a reduction of 2.5 million pages each year.
  • Direct printing cost reduced by 28% - giving sayings over £80,000 in the first year.
  • Energy usage reduced by 40%.
  • Established greater control and accountability for print and support services.


Today and Tomorrow

As a result of the outstanding satisfaction with services provided in London, Xenith now manages all of the imaging and output devices not just in the UK, but has also recently completed successful implementation of the same printing strategy in Italy and France.

These two countries combined with the UK give a forecasted direct printing cost saving £190,000 per annum, alongside continued reductions of 40% in paper and energy usage.

Productivity is further improved as traveling users can print at any site without having to involve support services and still release their documents securely at any device.

Currently, a new assessment is being arranged for Spain and a strategy to implement the solution to all sites within the EMEA, providing a local source for support, service and supplies for each of the country sites, and delivering the same efficiency improvements, cost reductions and environmental benefits.
