Expert Tips: Printing and How to Save Time

Does your printer take ages to process large files? Do users have to fiddle with settings for each job? Or print it six times before you finally get it to look just right?

Regardless of whether you are in a print room, commercial printer or an office, you can make the experience of printing quicker, easier and more efficient.

Here at Xenith we believe that printing should be effortless, and certainly shouldn't distract users from real business. That’s why we have put together some tips to save your time:

  1. Taking the ‘work’ out of ‘workflow’
  2. Let’er ‘RIP’
  3. Mobile print
  4. Universal Print Driver
  5. Xerox's superb new (and fast) light-production and production printers

1. Taking the ‘work’ out of ‘workflow’.

One of our newer customers, a large publishing house, had an existing print room. Operators within the print-room spent hours each day on routine activities such as receiving documents in the form of email, preparing them for printing by converting documents into specific formats and layouts, and then routing them to the appropriate printer. This process was repeated about a hundred times each day.

We discovered that they had about ten sorts of print jobs they ran on a regular basis – proposals, book drafts, brochures, posters, and so on. Using Xerox FreeFlow Process Manager, we managed to automate their workflow completely, saving them time on routine activities, which could now be spent on business critical activities. We also managed to improve the process significantly as we have done for several other customers. You can download a brochure for Xerox FreeFlow Process Manager here.

Similarly, if you’re a commercial printer spending more time preparing and managing jobs than actually printing them, your digital presses may be sitting idle – that can hurt your return on investment. Keep your production pipeline filled with revenue-building jobs. Liberate your highly trained people from routine tasks so they’re available for more critical ones. Streamline your processes, from order entry through shipping and billing, so you can take on more work and satisfy more customers. In short, automate your workflow for greater productivity and profitability. You can download a brochure for the complete line of print productivity solutions here.

2. Let’er ‘RIP’:

If you find yourself printing large files and waiting for ages before the printing starts then perhaps you should consider investing in an external 'RIP', which stands for Raster Image Processor. In simple terms, it’s a piece of software that tells the printer exactly where to place each squirt of ink on the paper. This results in a sharper and clearer image, devoid of jagged edges, usually with better colour management. The time taken to process the document for printing is much less with a good RIP. Popular RIP’s on offer include EFI Fiery and Creo.

3. Mobile print

Until today, printing has only been possible via laptops and desktop computers. Now printing can be simple, convenient and secure from any email-enabled device, such as a smartphone, iPad®, Cisco Cius™, or other tablet. Xerox Mobile Print Solution is ideal for businesses with a mobile workforce looking for more flexible printing options.

4. Universal Print Driver

Time-saving efficiencies shouldn't be reserved only for users, but also administrators and IT management. The Xerox Gloabal Print Driver significantly reduces costs and increases the efficiencies of enterprise printer management and support. This new platform has changed the way that IT administrators view and manage enterprise print drivers. And the best bit is it's absolutely free for you to download.

  • Lets IT managers qualify, deploy and manage all print devices on the network using a single driver
  • Greatly simplifies replacing or updating network print devices: Just plug in the new device and give it the same IP address as the old printer (or redirect the port). The Global Print Driver automatically discovers the device and updates users’ feature options. No requalifcation or reinstallation necessary.
  • Fast and easy installation of new devices improves IT efficiency
  • Truly universal: supports Xerox and non-Xerox printers, PCL and PostScript
  • Quick installation: users can immediately use the driver without requiring IT assistance
