Building The Roadmap to Digital Success

MPS DT Roadmap.png

Digital transformation looks set to revolutionise the way we all work, but it all starts with the roadmap.

Your roadmap to digital success should cover the following three areas of digital transformation:

  1. Customer experience. How will you gain a deeper understanding of your client base? Data analytics, top-line growth, new channels and touchpoints should all be areas of focus.
  2. Business model. How will digital impact your existing business? What opportunities and threats will it create?
  3. Operational processes. How will workers have their performance managed following digitisation of existing processes?

The latter phase will benefit significantly from an MPS strategy that has been developed in partnership with a provider. This will help secure your roadmap, so long as the provider can help you with the migration from print-based processes.

To streamline the roll-out of digital information workflows, you’ll need to work with your MPS provider on the following:

Assessing document workflows

Aside from analysing every aspect of your business’s current print usage, you’ll also need to create bespoke plans that drive down costs.

The document workflow across the entire infrastructure also needs to be audited in order to identify areas where automation and digital enhancements can be made.

Bridging the paper/digital divide

With expert MPS guidance, you’ll be able to deploy multi-function printers (MFPs) that act as a bridge between paper and digital.

They do this by providing document capturing and routing capabilities which integrate with your existing systems and processes.

It’s still important to strike a balance, which is why your provider should also work to ensure that core business print workflows do not conflict with new, digital ways of working.

Converting critical paperwork to digital

With the right character recognition software, data that usually sits on paper invoices and other business-critical documentation can be captured from multiple sources.

This innovative technology can then be used to extract key information from documents that are unstructured, before organising and routing it to the right people (without any human interaction).

Integrating with your core business systems

Your business probably relies daily on customer relationship management (CRM) and enterprise content management (ECM) systems.

This is why digital services need to integrate cleanly with existing platforms. As a result, you’ll benefit from a ‘single source of truth’ that helps raise efficiencies and deliver consistency across all systems.

Routing key information across the business

Up to 40% of employee time is spent trying to find information they need. Therefore, the ability to route documents across the entire business will drive down the number of hours lost to manual searches.

For example, a scanned expenses receipt could be automatically routed to the accounts team and employee information scanned and sent directly to HR.

Implementing multi-channel communication

MPS isn’t just about managing content and digitisation. It should be used to improve communication across a host of channels in order to meet the expectations of customers and employees.

Research tells us that 90% of paper-based documents are never referred to again once filed. Is it time for your business to start building its roadmap to digital success?
