How to Ensure Document Security During Digitisation: Facilities Management

How Facilities Managers can meet security and IT compliance challenges on the journey to digital transformation and add real value to the business

“Businesses need to recognise that the process of digital transformation will affect all of their major areas, creating new security problems as once separate systems are connected in new ways,” Martin Kuppinger, principal analyst at KuppingerCole told Computer Weekly recently.

In part one of this series we looked at how security concerns could be a barrier to digitisation for Finance leaders.  Here we look at the impact of digital security on Facilities Managers whose remit to bring together people, places, technology and processes gives them a unique and business-wide view across all operations.

Facilities Managers are being asked to take a more flexible approach as companies demand more agility and transparency to compete in the digitally-enabled world. As well as monitoring buildings and physical assets, Facilities Managers are being asked to protect digital assets and ensure IT compliance in a changing landscape where business information is accessed on personal devices,  and privacy and security are the new watchwords.

The security risks from digital are real but we must remember that other security issues occur, and print security, in particular, can still be an issue. By embracing the digital transformation and being involved in shaping policies for flexible working to safeguard the company’s digital assets, Facilities Manager will play an essential role in safeguarding IT compliance. But as they have a wide range of responsibilities and unpredictable schedule they would benefit from the support of an outsourcing partner, like an MPS provider, to help them manage both print and digital security effectively.
